How HaulNX collects, uses and protects the information you give us.

About this policy
HaulNX Inc. provides truck dispatch services to owner-operators and small carriers. This policy explains what information we collect through our website at haulnx.com, how we use it, and the choices you have. It applies to this website and to enquiries you send us through it.
Information you give us
The only form on this website is our contact form. It appears on the Contact page and in the contact panel that opens from the button in the corner of every page. Both are the same form, and both collect:
- Your name (required)
- Your email address (required)
- Your phone number (optional)
- Your message (required)
- The language version of the site you used, so we reply in the language you wrote in
Carriers we contact
Most of our contact with carriers begins with us, not with this website. We keep a working list of motor carriers so a dispatcher knows who to call and what was said last time. For each carrier, that list can hold:
- Company name and any trading name
- A contact name
- A phone number and an email address
- USDOT and MC numbers
- City and state
- Number of trucks, and the status of the operating authority
- Where the record came from and the date it was added
- Notes a dispatcher writes after a call, the outcome of that call, and any follow-up date
Where that information comes from, and how to come off the list
We receive these details in carrier list files that our administrators load into our internal system. It is business contact information for registered motor carriers. We hold it so that a dispatcher can call a carrier and talk about our dispatch services, provide those services if the carrier signs on, and keep a record of what was said. Beyond that we use it only as the rest of this policy describes: for our own business records, and where the law requires. We do not sell it, rent it, or share it for anyone else's marketing, and we do not use it for autodialling, text messaging or bulk promotional campaigns. If you are on that list and would rather not be, tell us and we will remove your record: email admin@haulnx.com or call any of the numbers at the end of this policy.
What this website does not collect
The contact form on this website does not ask for MC or DOT numbers, insurance details, equipment information, truck counts or lane preferences. Carrier onboarding is handled by phone, and business information you give us in that conversation is recorded in the internal system described above rather than collected through this site. If you call or email us directly, we receive whatever you choose to tell us.
Information collected automatically
We keep this to a minimum. There are no third-party scripts on this website: we use no website analytics, advertising trackers, tracking pixels or session recording. Our fonts are served from our own server rather than from an outside provider, so loading a page on haulnx.com does not tell any other company that you visited us.
- Your IP address is used to limit how many times a form can be submitted from one connection, and to protect our staff login from repeated password attempts. We do not save it with your enquiry and we do not use it to identify you. As on any website, it will also appear in the ordinary server logs described below.
- Our form includes a hidden field that people cannot see, and a check on how long the form took to complete. Both are used only to recognise automated submissions, and are discarded either way.
- Our hosting provider keeps standard web server logs, which include visitors' IP addresses, as any web host does. We do not analyse those logs to profile visitors.
Cookies and website technologies
This website sets two cookies. Both are our own, both are necessary for the site to work, and both expire about two hours after your last activity on the site. We set no analytics, advertising, social media or profiling cookies, and we do not use these two to let anyone else track you. Because both are strictly necessary for a function you have asked for, we do not show a cookie banner. You can block or delete cookies in your browser settings, but if you block these the contact form will not be able to submit.
- A session cookie, which keeps your visit connected across pages so the contact form works.
- A security token cookie, which protects the contact form against cross-site request forgery.
How we use your information
We use the information described above to:
- Reply to your enquiry and answer your questions
- Discuss, set up and provide dispatch services
- Contact carriers about our dispatch services, and record the outcome of those calls
- Follow up on an enquiry you have made
- Keep an internal record of enquiries and customers, so a request is not lost and whoever picks it up knows what has already been said
- Send you messages about a service you have asked for or are receiving
- Keep ordinary business and accounting records
- Protect the website from spam, abuse and unauthorised access
- Meet our legal and regulatory obligations
Dispatch customers
If you become a dispatch customer, we use the information you give us to book and document freight on your behalf. That necessarily means passing the details needed for a specific load to the broker or shipper involved in that load, once you have approved it. We do not send marketing text messages, automated promotional campaigns or newsletters, and we do not sell, rent or trade your information to anyone.
Service providers
We use a small number of companies to run the business. They may handle your information only to provide their service to us, and only on our instructions. We do not currently use advertising networks, analytics companies, data brokers or marketing platforms. If that changes, we will update this policy before it does.
- Our hosting provider, which runs the server, the website and the database where enquiries are stored.
- Our email provider, which delivers the notification containing your enquiry to our dispatch inbox.
Information security
No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security. If a breach ever affected your information, we will provide the notifications required by applicable law. What we do:
- The whole website is served over an encrypted connection (HTTPS).
- Enquiries are stored in a database that is not reachable from the web.
- Our staff area is behind a password, with an individual account for each person and permissions limited to what their role requires. Accounts can be switched off immediately.
- Form submissions are rate-limited and protected against cross-site request forgery.
- Our error logs deliberately record only the reference number of an enquiry, never its contents or your details.
How long we keep your information
We keep enquiries for as long as we need them to respond to you, to provide the service you asked about, and to keep ordinary business records. We do not delete enquiries automatically. You can ask us to delete yours at any time and we will, unless we are required to keep it, for example for tax, accounting or transport regulations. We keep carrier records for as long as that carrier is someone we may work with, and we remove a record whenever we are asked to, subject to the same exception.
Your privacy choices
You can ask us at any time to:
- Send you a copy of the information we hold about you
- Correct anything that is wrong or out of date
- Delete your information, where we are not required to keep it
- Stop contacting you
How to make a request
Email us or call one of the numbers at the end of this policy. We may need to confirm who you are before acting on a request, and we will respond as quickly as we reasonably can. Depending on where you live you may have additional rights under local privacy law; ask us and we will tell you how they apply.
Children's privacy
This website and our services are for commercial motor carriers, and are not directed at children. We do not knowingly collect information from anyone under 18. If you believe a child has sent us information, contact us and we will delete it.
Legal requirements
We may disclose information where we are legally required to, for example in response to a subpoena, court order or lawful request from a government authority, or where we believe in good faith that it is necessary to protect our rights, our safety, or the safety of others, or to investigate fraud or abuse. If HaulNX Inc. is ever sold or merged, information may transfer to the new owner as part of that business, and we would post notice on this page before that happened.
Changes to this policy
We may update this policy as our business or the website changes. The date at the top of this page shows when it was last revised, and the current version is always the one published here. If a change materially affects how we handle your information, we will make that clear.
